How many people can I invite to our workspace?

The workspace is designed to make internal evaluation collaborative, so you can invite the people in your team who need to contribute. Your centre has its own private space, and invited contributors can add to the evaluation alongside you

What will ERO think about us using this?

The workspace doesn’t replace professional thinking or make evaluative judgements for you — it helps your team do that thinking more clearly and systematically. It has been designed around strong internal evaluation practice and prompts you to consider evidence, different perspectives, research, equity, outcomes for tamariki and the impact of the changes you make. You can also export your completed evaluation as a PDF if you want to share or retain a record of the process.

Can we upload documents and evidence?

Yes. You can upload supporting evidence directly into the relevant phase of your evaluation, including PDFs, Word documents, spreadsheets, presentations and images. That means observations, surveys, meeting notes, research, whānau voice and other evidence can stay connected to the evaluation instead of being scattered across different folders.

We’re already halfway through an internal evaluation. Can we still use it?

Absolutely. You don’t have to start again. Create the evaluation in your workspace, add what you’ve already established into the relevant phases, upload the evidence you already have, and continue from where your team is now. It can actually be a useful opportunity to bring everything you’ve gathered so far into one place.

Is our information private?

Yes. Each centre has its own private workspace, and people you invite can only access the centre they have been given access to. Other HeartLead customers cannot see your evaluations or evidence. As with any digital system, we recommend keeping children’s and whānau information appropriately anonymised and only uploading information that is necessary for your evaluation.

Can we have more than one internal evaluation running at once?

Yes. You can create and work on multiple internal evaluations within your centre workspace, so you don’t need to finish one before beginning another. Completed evaluations also remain available so you can revisit your improvement journey over time.

Can we go back and change something after we’ve marked a phase complete?

Absolutely. Marking a phase complete helps your team see where you are in the process, but it doesn’t lock your thinking away. You can return a phase to In Progress, add new evidence, update your thinking and continue refining the evaluation as you learn more.

Do we need to be good with technology to use it?

Not at all. The workspace has been designed to guide you through internal evaluation one step at a time, using clear prompts and simple language. If you can use a website and upload a document, you’ll be able to use the workspace — and if you do get stuck, help is available.

Is this just another template we have to fill in?

No. The workspace gives your evaluation structure, but it isn’t designed as a compliance checklist. The prompts help your team move between noticing, evidence, research, analysis, action and impact while still leaving room for your own context, questions and professional thinking. The aim is to support a genuine collaborative improvement process, not simply produce another completed form.

What happens to our evaluations if we don’t renew?

Your subscription gives your centre ongoing access to the workspace for the subscription period. If you decide not to renew, you won’t suddenly lose the evaluations you’ve created. Your records can be retained for archive/read-only access for the agreed period, giving you time to view or export your work.
